Background – About ALT HAN (Home Area Network) Co:

The Alternative HAN Company (Alt HAN Co) is a not-for-profit company jointly owned by Energy Suppliers. It operates through a Forum of supplier representatives, and a Board. Costs are recovered from energy consumers, via charges levied on all licensed energy suppliers.

We were established in 2016 for the sole purpose of finding an industry-wide solution for smart metering in hard-to-reach houses, apartment blocks and commercial premises. Specifically, where the broadcast signal from a smart meter communications hub is not strong enough to reach the gas meter or smart devices in the home. This problem affects around 5% of premises – and if not addressed could leave behind more than a million customers in the transition to a smarter, low-carbon energy sector.

The Role:

Reporting to the Human Resources (HR) Manager, you will assist with the development and implementation of the company’s HR function and to meet with employees offering support and welfare where needed. You will also be responsible for helping the HR manager to develop HR policies, update documents, support end-to-end recruitment whilst sourcing, co-ordinating and administering training and development across the company.

Job Description:

Recruitment & Selection

Assist in the Administration of the recruitment process including placing internal and external adverts; maintaining the application system and tracker, scheduling interviews; and handling enquiries from candidates.Assisting in accurately draft offer letters.Carry out all necessary pre-employment checks, including collating references, right to work and ID documents and manage DBS applications, in line with agreed timescales and alert the HR manager to any potential issues with delays in the process or start date. Coordinate the induction for new staff for the first two weeks.Timely creation and maintenance of staff records to support the HR Manager and IT

colleagues in setting up access for systems

Onboarding, probation and leavers

Administer the onboarding and probation processes, ensuring a high-quality induction for new starters, and timely management of the probation process including documentation and monitoring. Support the engagement of employees through the promotion and management of the Buddy scheme, ensuring all new starters are provided with a buddy.Administer the staff exit process, liaising with the employee, their manager to raise leavers form and assist in conducting exit interviews. Utilise templates to produce a range of HR letters such as invitations to interview, confirmation of entitlements, confirmation of maternity or paternity leave and the attendance management process

Training and Development

Oversee the training development plan, training tracker ensuring staff training is logged correctly and reported upon. Assist in sourcing of appropriate individual and all staff trainingLiaising with training individuals/ companies in the setup of appropriate training programs/ platforms.Monitor the PDR forms, analysing training needs and report upon these.

Data Management & Reporting

Producing HR metric and any ad-hoc reports on a regular basis such as headcount, turnover and absence reflected visually where appropriate.To support the development and continuous improvement of the HR system, ensuring consistent data is held for all staff, Support with absence record keeping and generate reports for individual employees according to Absence Policy, To support the HR Manager and Director of Business support in preparing reports and data Process changes to staff employment details on data systems as directed by the HR Manager. To ensure compliance with data management processes, managing the archive and data destruction process in a timely manner.

General HR Administration

Ensure any payroll related information is prepared and passed onto the finance department for processing in line with monthly deadlines and internal processesBuild effective relationships with staff at all levels, providing advice, guidance and support on a range of HR policies, procedures and issues to ensure best practice. Support and compliment the work of the Director for Finance, Compliance and Business support on all HR mattersDemonstrate commitment, promote, adhere to AHC principles, Values, and behaviours as well as the principles of equality, diversity and inclusion.Comply with Data Protection, confidentiality, intellectual property rights legislations and policies whilst maintaining ISO27001 standards. Provide administrative support at formal meetingsSupport with A/L queries and send reminders to staff as necessary

Professional Experience, Qualifications, Knowledge, and Skills:

The successful candidate will have the following knowledge, skills, and experience:

Degree in HR or Business related subject – essential CIPD Level 3 or above is preferred. Or a willingness to complete (post probation) Proven experience as an HR Assistant or relevant Human Resources/Administrative position. Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook). Self-motivated with strong organisational skills, attention to detail, with the ability to manage multiple tasks concurrently. Strong interpersonal skills, written and verbal communication skills and capable of building positive effective working relationships effectively with various stakeholders. Strong attention to detail, availability to work independently and under pressure. Flexibility within the role e.g. happy to be involved with different tasks Taking and transcribing accurate notes of meetings which may be complex in nature Ability to deal with confidential and sensitive material discreetly Up to date knowledge on employment law
